The QEII Centre is the largest dedicated conference and exhibition space in central London. Our venue offers world-class facilities for high-profile conferences, conventions, exhibitions and corporate events with a capacity of up to 2,500 and hosting over 400 national and international events a year.

Overall Purpose of the Role

This is an entry level role for someone who is looking to get into Event Management, looking after smaller events across the Centre and general administration.

key Objectives:

·         To respond to all incoming catering enquiries within 24 hours

·         Responsible for ensuring client contracts and prepayments have been received prior to the actual event day

·         Responsible for creating Catering Schedules for clients confirming all of their catering requirements, and liaising with clients regularly to ensure all last minute changes and requests are met on the event day

·         Co-ordination of all event catering paperwork

·         Support of unit departments

·         Liaising with all internal operating departments, the main client and other contractors

·         Flexibility to deal with a wide range of issues that may occur during the working day

·         To actively upsell each event to maximise profitability and sales

·         Ensure client requirements are communicated to the highest possible standard

·         Advise clients on the best way to manage their event and suggest alternatives if appropriate

·         Building relationships with clients, whilst maximising all business opportunities through upselling; including follow up calls with clients to ensure satisfaction and to explore the possibility of repeat business

·         Invoicing clients for all events and chasing of outstanding payments in line with the units payment terms

·         Monitor all standards of service, particularly food quality

·         Monitor suppliers in terms of quality, price and service

·         To work closely with the Leith’s Event Managers to achieve good financial results and support where necessary

·         Responsible for all client meetings, whether face-to-face or by telephone. To be involved in showrounds and requirements meetings for events

·         Being able to react in situations regarding operational issues

·         Responsible for building a rapport with clients and dealing with complaints, queries, and attending debrief meetings after the even
