Baxter Storey have an exciting opportunity working alongside one of our most prestigious clients, based in Birchwood, Leatherhead with Hyundai. 

As a Receptionist, you will create an exceptional welcome for both members of staff and the visitors entering the building. They will also assist with meeting room management, including the booking of meeting rooms, meeting room and hospitality set up, and escorting guests and clients to the relevant rooms. You will be the go-to person in the office, covering a wide range of tasks for the client. To exceed expectations, the Receptionist will need to work closely with all other service providers, ensuring a seamless experience is provided to all staff using the space.
Some of the main responsibilities of the role include: –

  • First point of contact for the office providing admin support to the team.
  • Handling all incoming telephone calls.
  • Management of incoming and outgoing post.
  • Completing of the reception visitor log, assistance reports and any other site specific reports or administrative duties required by the site and management.
  • Organising international couriers, making sure they are received on time.
  • Maintain security and access card system creating security passes for employees and issuing visitor passes.
  • Maintaining and updating the room booking system.
  • Organising meetings and providing hospitality to visitors and staff.
  • Maintaining stationery stock and ordering when appropriate.
  • Supporting the team in maintaining a tidy, safe and pleasant working environment.
  • Ensuring housekeeping and maintenance issues are reported and dealt with.
  • Complying with reception and client procedures, rules and regulations.
  • Supporting the Facilities Management Team with facilities and building arrangement.

The successful candidate must have excellent communication skills, as well as being comfortable with using different management systems, and the ability to prioritise work due to constantly changing circumstances.
